Declaration for a resume

A resume declaration is one sentence at the foot of the page stating that the information given is true, followed by place, date and your signature above your printed name. It is expected on biodata and many campus and public-sector applications, and optional elsewhere.

The declaration is a formality, but a formality with a reader. Colleges, public-sector recruiters and traditional employers treat its absence as carelessness. Private-sector and IT recruiters generally do not look for it at all.

Include it where it is expected, keep it to one sentence, and set it out cleanly.

The four parts

    One sentence affirming that the information is true and correct to the best of your knowledge and belief.

    The city you are signing in.

    The date of submission, written the same way as every other date on the page.

    Signed above your printed name at the right of the block.

Standard wordings

  • I hereby declare that the information given above is true and correct to the best of my knowledge and belief.
  • I hereby declare that the particulars furnished above are true and correct to the best of my knowledge, and that no material fact has been concealed.
  • I declare that the information provided in this application is accurate and complete, and I take responsibility for its correctness.

Where it goes

At the very bottom, after every other section, never in the middle of the page. Place and date sit on the left of the block, the signature on the right. Keep the whole block on one page rather than letting it split across two.

When to leave it out

On a one-page resume for a company or a portal application, the line is usually dead space that could hold a project bullet. Drop it there and keep it for biodata, campus forms and public-sector applications.

Small errors that stand out

  • A declaration with the place or date left blank.
  • Three sentences where one is expected.
  • A signature block on its own orphaned page.
  • A date that contradicts the date on the covering email.

Questions people ask

Is a declaration compulsory on a resume?

No general rule makes it compulsory. It is expected on biodata and on many campus and public-sector applications, and optional for private-sector roles.

Where should the declaration be placed?

At the end of the document, below every other section, with place and date on the left and the signature on the right.

Do I need a handwritten signature?

A scanned or inserted signature is normally accepted for soft copies. Print and sign by hand when submitting a physical application.

Can I write my own wording?

Yes, as long as it is one clear sentence affirming accuracy. There is no advantage in departing from the standard phrasing.
